Digital employee files with key documentation checks
Our HR software packages, will allow the HR function to set up employee files, to include the recruitment stage.
Staff files will now be digital, ridding the need for paper. Using our HR management UK software, employee files will be built up over time using clients’ own definable structures. Key documents can be stored, for example, CRB checks, passports, driving licences and accreditations. And the system will alert HR staff as to any key documents that are currently missing from an employee’s file, so action can be taken.
HR can also add and change their own filing and documentation structures as the business evolves- a key feature of our UK HR software.
Custom HR admin dashboards for required and upcoming actions
The dashboard facility presents HR admin users with key information based on the data in the UK HR system software, including actions to be taken, e.g., reviewing documents for retention.
The status of tasks that they need to resolve for individuals and the department are shown, as well as key employee document checks (that is, those that are outstanding). The HR management software (UK) dashboard also includes those employee documents that are due for review (for example, deletion), in relation to company standards or GDPR regulations.
Details of those individuals in a recruitment mode and their status e.g., pending or declined, are also shown, allowing users to drill down to that individual’s file from that screen.
As an option, data that is relational in the system e.g., sick versus overtime claims, can also be included in the dashboard display.
UK HR Management Software with a Self-Service module
For staff, especially during periods away from the office e.g., the widespread move to home working during the recent pandemic, having the ability to avoid paper form filling by completing tasks online is critical to recording how time is used. Time sheets can be completed online with submission to line managers for approval, even on smart phones. Managers also have the ability to challenge information via workflow, and once approved, the data can be exported as a CSV file for import to a payroll system.
In the same way requests for leave can be submitted with staff having updated leave entitlement shown before they apply.
Importantly, when staff have changes in their key information, such as marital status, address and bank details, these are again completed online and submitted to HR for updating in the individuals’ HR files.
Another feature of our HR software packages which is available, is the publishing of staff rotas with an SMS messaging option.
Online HR Software
The terms HRIS (Human Resources Information System) and HRMS (Human Resources Management System) basically cover the same areas. They refer to systems that take paper or spreadsheet processes and records related to staff and make them digital. The advantages of using HR management software are many, including much better auditability, as to when and who took actions, and such systems remove the need for paper based records for staff, saving space, money and time.
Such systems also come with the ability to have retention rules for stored documents making adherence to the DPA (Data Protection Act) and the GDPR (General Data Protection Regulation) easier.
HR Online has two core modules – the HR Admin system that is accessible only for the HR team, that allows on screen collation of information and records related to staff, from recruitment through to employment and then, when relevant, to leaver status. General staff will be able to access their own personal files, subject to rules established by individual companies
The Self Service module allows staff to create and send for approval Time Sheets, Leave Requests, and change of personal details (e.g. change of name / address / bank etc). The module will also allow company policy documents to be distributed to staff, and for them to record receipt and acceptance (e.g. health and safety documents).
The Cloud B2B HR on line systems are private Cloud service based, but can be installed to a server located on a client’s own network and DMZ, as an option, if required.
